How secure is Baby's Days?

Baby’s Days is the most secure online system of its type, unlike other systems available to the childcare industry, every Baby’s Days system is completely unique to each setting.  When Little Cubs purchased the Baby’s Days system they configured our own personal system located on the secure cloud servers based at their data centre in Manchester.

When you or Little Cubs connects to this personal system you can rest assured that it is 100% impossible for any other customer’s data to be seen on this system or, vice versa, for the data on this system to be leaked onto any other system.

In addition when you connect, you will only be able to see data and information related to your child, you will not under any circumstances be able to see any other child’s data and likewise, no other parent on this system will be able to see any data relating to your child.

All data transfered is encrypted, in other words, while data is being sent to the system it cannot be read during transmission. In addition every Baby’s Days system is monitored 24 hours a day and any possible attack or hack attempt on the system is blocked and reported to our live team.

Baby's Days Is General Data Protection Regulations Compliant

Letter to Parents/Carers explaining about the introduction of Baby's Days

Monday 19th March 2018

Dear Parent/Carer,

From April 16th 2018, we will be using a secure system called Baby’s Days. Parents will be able to access the system 24/7, only for everything concerning their own child.  Baby's Days is the most advanced software system of its kind and used by more childcare settings than any other software package, complex yet simple to manage and designed and developed to assist us with the forms and paperwork involved around all areas of the EYFS and our setting.

Designed and developed over a year with help from numerous Early Year Practitioners and launched in April 2009, Baby's Days is the most Outstanding Online Software Application available to ensure we can meet all required areas of the EYFS quickly, simply and efficiently.

Baby's Days allows us to form a partnership with you, our parents and carers which is simple and effective. When you connect you are able to view numerous areas of the system and these include Daily Diaries, Progress & Assessment Scales, Photograph Galleries, Policies, Permissions and their Invoices, within the Daily Diaries and you can read their child's daily activities, view photographs and leave comments that we can respond to. Within the Progress section you can read Progress and Observation notes, view photographs and see exactly what development level your child is currently at.

In addition you can read, agree to and digitally sign the acceptance of Policies and Permissions and also view your monthly invoices.

Key Areas of Parental Access

• Parents can view their child's Personal Information - Diaries, Progress & Assessment Scales and Photograph Galleries.

• Parents can also view Policies and Permissions that you have assigned to them and must read and digitally sign their acceptance of them.

• Parents can sign the medication and accidents & illnesses forms.

• Parents can view and print the invoices that have been created for their children.

• Parents can sign and accept the hours within their children's attendance registers.

• Parents can view the Newsletters that we have created.

• Parents can send us private messages.

• When a parent logs in to the system they can only view data for their child and no other children on the system.

• Parents have a read only view and cannot make any changes to their child's data on the system.

• Parents can leave comments within various sections of the system allowing us to read and respond to them.

We will email you a full guide on how to log on and how to use the system.

Afterschool/Holiday Club

Although a specific software package for Early Years aged children (0-4 years of age) we shall still use many aspects for afterschool and holiday club children. However, as expected we will not be tracking progress or making assessments but we will use many of the tools to help communicate with parents.

Invoicing

• Attached to this letter is April’s invoice - nil value for those who are completely funded.

• You will also have a copy emailed directly to you on 20th March.

• After this month, invoices will be issued on the 20th of each month and there will be no paper copy.

• If you are having any issues viewing the email or would prefer a paper copy then please let us know.

• Invoices are required to be paid by the 1st of the month – a late payment charge of £25 will be added, per week if payment is not made.

• You can pay by BACS – Palmarsh parents please note new bank details.

• You can pay by cash but please be aware that the 1st April is over the Easter weekend so you may choose to pay by BACS or organise an alternative date.

• You may choose to pay the invoice in weekly instalments – Divide the invoice by 4 and pay this amount every week (example: invoice is £100 divided by 4 weeks of the month = £25 per week payment.

• Remember – April has two weeks of the Easter holidays so unless your child is booked in for holiday club you child will only attend from Monday 16th April until Friday 30th April 2018. So that’s why your invoice may see low.

• Attached is the Kent County Council PVA calendar for you to see in advance how many weeks you will be invoiced each month.

We appreciate that this is a change and welcome any questions that you might have but we are confident that monthly invoices will be easier and simpler, however we understand that April is not an easy month to start with – but please bear with us.

As you can appreciate we are adding and developing the Baby’s Days over the next coming weeks and months and we can all learn about it together. Your feedback is most welcome and if you are experiencing any problems please do not hesitate to come in and see us and we can work through it together.

We look forward to this new stage of Little Cubs. Our door is always open to discuss any aspect further.

Kind Regards

Kelly and Team xxx
